Job Description: The legal assistant will provide legal/clerical support for several attorneys and paralegals, including calendaring, client contact, drafting letters and pleadings and trial preparation. The individual in this role will assist the attorney and paralegals in preparing lawsuits for hearings/trials and will manage various administrative and clerical activities.
Candidate Requirements:
No less than 3-5 years of experience as a Legal Assistant or Legal Secretary in a law office. Personal Injury experience strongly preferred.
Strong proficiency with MS Word/Office and the ability to type at least 70 wpm.
Experience with Timeslips and Abacus software is a plus.
An extremely hard-working and efficient personality.
A stable work history.
The ability to operate independently with limited instruction.
The ability to multitask and work in a fast-paced environment, and under deadlines.
Outstanding communication and interpersonal skills to communicate with court personnel, other attorneys and their assistants, clients, witnesses.
The ability to maintain strict confidentiality: any and all matters concerning DLG clients, employees, operations, etc.
A high level of professionalism and the ability to provide the ultimate in client service.
The ability to follow instruction and take direction from senior staff members.
Key responsibilities:
Communicating with potential clients and existing clients in an understanding, respectful and appreciative way. All communication is in the spirit of cooperation or ‘agree to disagree’.
Assisting with potential client inquiries, phone screening, and scheduling potential client meetings.
Communicating with all parties involved in litigation and maintaining office systems, including court calendars.
Managing, tracking, and reporting case expenses.
Scheduling depositions, calendaring discovery and various other deadlines, and scheduling witnesses and experts for appearance.
Drafting basic correspondence, memoranda, pleadings and preparing evidence and scheduling witnesses for trial.
Maintaining, organizing all case files and other documentation for paralegals and staff attorneys: keeping all files completely up-to-date. Includes opening and closing.
Ordering police reports and sending out letters of representation.
Tracking and documenting all client, expert, physician and adjustor.
Regularly gathering treatment status updates from clients and documenting them in Abacus.
